A room needs repairs, a colleague is unavailable or your operating arrangements have changed. You need to accept fewer dogs next week, but customers have already booked their usual days. Changing a number in the booking system is only one part of the job.
Changing dog daycare capacity requires a clear view of the affected sessions, the dogs already booked and the arrangements your team can actually deliver. This guide explains how to review a temporary reduction, communicate with owners and check the result. TailPro can support that work through session capacity settings, bookings, attendance information and staff coordination.
Before changing the limit, answer six questions
- What is changing? Identify the room, session or service affected.
- When does it apply? Record the first and last affected sessions, including times.
- What can you deliver? Review available space, staffing and the needs of the dogs attending.
- What is already booked? Count dogs in each affected session, including relevant repeat bookings.
- Who needs action? Identify bookings requiring review and assign someone to contact owners.
- When will you review it? Name the person responsible for confirming the next capacity setting.
If current arrangements cannot support further bookings, stop offering additional places through the appropriate booking controls while you resolve existing commitments. Do not leave unsuitable availability open while waiting for every customer to reply.
Separate your operating decision from the software setting
First decide what the daycare can accommodate under the revised circumstances. Take account of your applicable licence conditions, available facilities, staffing and individual dogs’ needs. A number entered in software does not establish a suitable operating limit.
Then make the booking settings reflect that decision. TailPro supports capacity limits per session or room and stops further bookings when the configured limit is reached.
That controls new demand. It does not, by itself, explain what happens to reservations made before a reduction. Check the existing diary separately and verify how your configuration handles a limit below the number already booked.
Set the scope of a temporary change precisely
“Reduce capacity next week” leaves too much open to interpretation. Specify the affected service, room, dates and sessions. Make clear whether the end date is included.
Check the day before the change, the first affected session, the last affected session and the following day. These boundary checks help catch a temporary restriction that starts early or continues too long.
Also review other rules covering the same period. A bank holiday arrangement, room closure or existing temporary limit may overlap your new setting. Establish which rule will apply rather than assuming the newest entry takes priority.
Confirm whether your system restores the usual capacity automatically or requires another edit. Either way, review the real operating arrangements before reopening places.
Review existing bookings session by session
Compare booked attendance with the proposed limit for each affected session. Count dogs rather than customer accounts: one household booking may include more than one dog.
Include repeat bookings that fall within the period and check any requests awaiting approval. Verify whether those requests already reserve capacity in your setup. Unused package credits are not the same as reservations for specific dates.
Where morning and afternoon services overlap, check the shared period as well as the separate session totals. Dogs attending all day still occupy space during both sessions.
TailPro provides scheduled bookings and digital attendance records. Use bookings for the future review; attendance records depend on staff recording arrivals and departures accurately.
Example: reducing one session from 20 places to 16
Illustrative business scenario — not a customer case study.
A daycare decides that a particular session can accommodate 16 dogs while a room is unavailable. Its usual configured limit is 20. The temporary period covers Monday to Wednesday.
| Session | Dogs already booked | Proposed limit | Position to resolve |
|---|---|---|---|
| Monday | 14 | 16 | Two places remain numerically available, subject to suitability checks. |
| Tuesday | 18 | 16 | Booked attendance exceeds the proposed limit by two dogs. |
| Wednesday | 16 | 16 | No further places are available. |
These figures illustrate the process; they are not recommended daycare capacities.
Lowering Tuesday’s setting to 16 does not remove its two excess dog places. The manager reviews the commitments and contacts relevant owners to discuss suitable alternatives. Moving a booking only works if the destination session can accommodate that dog and the owner agrees.
If sufficient alternative arrangements cannot be made, the manager must resolve the remaining commitments before service. A warning or a saved setting is not a completed action plan.
Contact owners with a specific proposal
Explain which date is affected, what you can offer and what response you need. A vague message about “reduced availability” can leave owners unsure whether their existing booking still stands.
Before contacting someone, check suitable alternatives and the payment or package position. Do not promise a replacement date you cannot deliver.
Record the outcome of each conversation: agreed change, declined alternative, unanswered enquiry or another action required. Set a follow-up time for owners you have not reached. A sent message does not show that revised arrangements have been accepted.
Confirm any refund, credit or payment adjustment that applies. Changing the booking date alone does not prove the financial record is correct. Check for scheduled reminders that could send superseded instructions.
Check the booking view and brief the team
After applying the revised settings, review what customers can book and what staff see. Confirm the affected dates, available places and existing booking records. Check that unaffected sessions still behave as intended.
Give staff one current plan covering attendance, room use, responsibilities and unresolved customer conversations. TailPro supports assigning staff to rooms and sessions, with task lists to organise work.
If groups need rearranging, review the individual dogs as well as the totals. Our guide to dog daycare group planning explains how observations and handovers support those decisions.
Finally, review the temporary period before it ends. A planned reopening date does not mean repairs are finished or staff cover is in place.
When software is worth considering
A spreadsheet can work for a small operation with few changes and one person maintaining it. Coordination becomes harder when several staff handle bookings, multiple sessions share space or temporary rules change frequently.
Start by testing one representative capacity change with TailPro’s team. Ask to see how existing bookings appear, what customers can book afterwards and how overlapping dates are handled. Reconcile future bookings before switching systems, and agree where the definitive diary will live.
Explore TailPro’s daycare software to review its booking, capacity and staff tools against your daily workflow.
Frequently asked questions
Will lowering capacity automatically cancel existing bookings?
Do not assume so. Confirm the exact behaviour in your configuration and review the booking records. Any necessary customer changes need an explicit process.
Can a temporary reduction apply to only one room or session?
TailPro supports capacity per room or session. Confirm how to apply a date-limited change and how other sessions or shared spaces are affected before publishing it.
Does TailPro identify every affected booking automatically?
Confirm the scope of its impact checks, including repeat bookings, pending requests and overlapping sessions. Reconcile the result with your actual commitments before relying on it.
Should normal capacity return automatically?
Only when the operational arrangements support it. Check any scheduled restoration and assign someone to review staffing and facilities before more places become available.
What does TailPro cost?
TailPro has an ongoing Free plan without a monthly software subscription. Applicable transaction and off-app charges remain, and plan limits vary. Check the current pricing for staff access and the communication features you need.
Plan the change before customers are affected
Choose one session and compare its existing bookings with a possible temporary limit. Use that example to evaluate how TailPro could support your review, customer contact and staff handover.
