Your first groom takes longer than expected. The next owner arrives early, someone phones to change Friday’s appointment, and a gap appears where a customer has not turned up. A diary can look full while the working day feels difficult to manage.
Pet grooming scheduling software can help connect bookings, groomer availability, pet information and payments. The useful question is how well it supports the way your salon works. This guide explains what to configure, how to handle a changed appointment and what to test in TailPro before inviting customers to book. Reminders and deposits can support the process, but no system can guarantee attendance.
What every grooming appointment needs
Before opening a slot for booking, make sure you can identify:
- The pet, owner and correct contact details.
- The service requested and any agreed extras.
- A realistic appointment length, including preparation and handover.
- The assigned groomer and any shared equipment needed.
- Relevant coat, handling and previous-visit notes.
- The price or clearly explained basis for the final charge.
- Any deposit, remaining balance and payment status.
- How the owner can change or cancel the appointment.
Use this checklist when assessing software. A feature name such as “online booking” tells you little about whether your particular appointments will fit the day.
Start with service length, then open availability
Two dogs booked for a full groom may need different amounts of time. Consider their coat condition, size, handling needs and what happened at the previous appointment. Leave room for cleaning, owner conversations and staff breaks.
For a new dog or an uncertain service request, establish a way to review the details before treating the booking as ready to deliver. Do not expect a customer selecting a breed to provide a complete assessment of the work involved.
TailPro describes online booking against availability and pricing rules based on breed, size, coat and service complexity. Price calculation does not establish automatic duration calculation. Test how you set and adjust the time reserved for each service.
For a mobile groomer, travelling and parking also consume availability. An empty calendar slot may still be impractical if the next customer is across town.
Match the appointment to a groomer and the salon’s capacity
Check who is working, which services they can carry out and whether the necessary bath, table or drying space is available. Two free groomers do not necessarily mean two identical services can start together.
TailPro’s grooming page describes scheduling around groomer availability and skill. Ask how your setup handles shared resources; do not assume staff scheduling automatically reserves equipment too.
When an appointment changes, review the assigned person as well as the date. Moving a specialist service into another groomer’s gap may create a booking that cannot be delivered as agreed.
Test the diary with a realistic example
Illustrative salon scenario — not a customer case study or recommended grooming duration.
One groomer starts at 9 am. For this particular appointment, the salon allows:
| Task | Time allowed |
|---|---|
| Arrival and discussion with the owner | 10 minutes |
| Grooming | 90 minutes |
| Collection handover | 10 minutes |
| Cleaning and preparation | 10 minutes |
| Total reserved time | 120 minutes |
The next appointment starts at 11 am, even though the hands-on groom takes 90 minutes. Booking it at 10.30 am would leave no time for the other tasks.
Now suppose an agreed extra requires another 15 minutes. The planned finish becomes 11.15 am. Before accepting it, check whether the next appointment can move, whether the extra can be booked separately or whether it should be declined that day.
Use this example when testing software: can you see and change the occupied time, identify the affected customer and communicate the revised arrangement? Selling an extra is only useful when you can deliver it properly.
Use reminders and deposits as part of the booking process
Send owners a clear confirmation containing the appointment date, arrival time, location, service and contact route for changes. A reminder should give them enough notice to act, rather than simply announce that the appointment is imminent.
TailPro advertises automated confirmations, reminders and optional online deposits. Confirm the available message channels, timing controls and plan requirements before relying on a particular reminder sequence.
If you take a deposit, explain how it contributes to the total and how cancellations are handled before the customer pays. Do not assume that calling a deposit “non-refundable” makes every deduction fair. The Competition and Markets Authority’s guidance explains that cancellation terms must be fair and charges should reflect direct losses, with reasonable steps taken to reduce them.
Keep reminders easy to respond to. A customer who tells you early that they cannot attend gives you more options than one who cannot work out how to contact you.
Respond to cancellations without creating another scheduling problem
When a customer cancels, record which appointment is affected and when they contacted you. Handle the booking status and any financial adjustment separately; a cancelled groom was not a completed service.
Before offering the space to someone else, check:
- Whether their required service fits the available time.
- Whether the assigned groomer is suitable.
- Whether you have the pet information needed to accept the appointment.
- Whether the customer has explicitly confirmed the new arrangement.
A list of customers willing to accept short-notice appointments can help, provided they have agreed to be contacted. This is an operational suggestion, not a claim that TailPro automatically maintains or fills a waiting list.
For a no-show, contact the owner through the agreed channel, record the outcome and apply your fair policy consistently. Avoid squeezing in another lengthy groom simply to make the diary look full.
Keep the final charge connected to the actual appointment
At collection, check the service delivered, agreed extras, deposit already paid and balance due. Explain any agreed change clearly. Update the pet’s record with information useful for the next visit, including whether more time should be reserved.
TailPro describes pet notes and photo records, online payments and appointment reporting. Explore TailPro’s grooming tools with your own services and prices in mind.
Review patterns over several weeks: appointments that regularly overrun, unfilled cancelled time, missed appointments and unpaid balances. Keep completed grooming income distinct from deposits held for future work when assessing performance. A busy diary alone does not tell you whether the business is profitable.
Start small when moving your bookings
A paper diary may work for a solo groomer with straightforward appointments. Software becomes more useful when several people update bookings, pet notes are scattered or reconciling deposits takes repeated checking.
Begin with a few services and test records. Configure availability, check staff access and run a booking through confirmation, rescheduling, completion and payment. Test one cancellation too, including what the customer sees.
Before moving live appointments, compare dates, groomers and outstanding deposits with your existing records. Choose one authoritative booking system from the changeover date. Do not assume every historical record or payment detail can be imported.
Questions to ask before choosing a plan
Can scheduling software eliminate grooming no-shows?
No. It can support clearer bookings, reminders and deposit collection. Owners may still miss appointments, so you need a practical response and realistic expectations.
Can I change a price without changing the appointment length?
Treat these as separate checks. TailPro documents pricing rules, but you should verify how service length and extras affect reserved time in your setup.
Are reminders included in every TailPro plan?
Do not assume so. The pricing page lists outreach messaging and customer chat under Business. Confirm the exact plan needed for your intended confirmations and reminders.
What does TailPro Free cost?
Free has no monthly software subscription and is an ongoing plan, rather than a time-limited trial. Online processing and applicable off-app fees remain. Compare the current plans and fees with your staff numbers, communication needs and payment methods.
Build your first workable grooming schedule
Choose one common service and one appointment that needs extra time. Test how each fits the diary, what the owner receives and how the payment is recorded.
