Complete Admin Workflow for Managing Bookings and Staff
This video provides a full walkthrough of the daily admin workflow in TailPro, showing how to manage bookings from the moment they are created by customers through to staff assignment and tracking.
It begins with the pending screen, where all new booking requests appear when the auto-approval threshold is set to zero. This screen acts as the main starting point for admins each day. The interface displays a list of bookings awaiting review, along with filtering options such as customer, date, service, and time slot, allowing admins to quickly locate specific requests.
Within the booking list, additional details can be viewed by enabling the add-ons and booking time toggle. This reveals any attached add-ons and the exact time the booking was made, helping admins prioritise approvals, especially when availability is limited. Each booking also shows slot timing and remaining capacity, giving a clear overview of availability.
The admin then reviews each booking and decides whether to approve or reject it. Approving a booking moves it to the unassigned tab, indicating that it is confirmed but not yet allocated to a staff member. Rejecting a booking cancels it and notifies the customer.
Next, the video moves to the unassigned tab, where approved bookings are ready for staff allocation. The admin selects a staff member from a dropdown list, which can be filtered based on service to show only qualified staff. After selecting the relevant bookings, the admin assigns them using the “assign selected” option.
A partially assigned toggle is also demonstrated, highlighting bookings that are not fully allocated—particularly useful when bookings include multiple add-ons that may require different staff members.
The video then transitions to the assigned tab, where all allocated bookings are displayed along with their assigned staff. From here, the admin can manage assignments by either reassigning bookings to another staff member or unassigning them entirely, which moves them back to the unassigned tab.
Finally, the rejected tab is shown, which maintains a record of all declined bookings. This helps with tracking decisions and maintaining an audit trail.
Overall, the video demonstrates how admins can efficiently manage the full lifecycle of bookings—reviewing requests, approving or rejecting them, assigning staff, and making adjustments when needed—all within a structured and easy-to-use workflow.
